This calculator estimates guest capacity from room dimensions and your chosen seating or standing layout.
The formula
Usable area = room length × room width × Efficiency Factor (default 0.85)
Maximum guests = usable area ÷ m² per person
Comfortable guests = maximum guests × 0.85
The Efficiency Factor (default 0.85) removes the ~15% of floor taken by walkways, the bar, DJ and buffet. The separate 0.85 in the comfortable figure then leaves guest breathing room above the absolute minimum density. Space per person by layout: 0.6 m² standing, 0.75 m² theatre, 1.2 m² long tables, 1.5 m² round tables — drawn from UK venue layout guides (venues.london, Town Hall Spaces), which quote 0.5–0.75 m² standing, 0.75–1 m² theatre and 1.2–1.5 m² seated dining.
Frequently Asked Questions
For a standing reception, allow about 0.6 m² per person (UK event-planning guides give 0.5–0.75 m²; 0.5 m² feels very cramped). For seated round tables allow 1.5 m², for long banquet tables 1.2 m², and for theatre-style rows about 0.75 m² per person. These per-person figures cover the guest plus their chair and immediate movement, but not the bar, stage or walkways — those are removed separately by the Efficiency Factor below.
Use the comfortable capacity figure. The calculation applies two separate reductions: first the Efficiency Factor (default 85%) removes the floor taken by the bar, DJ, buffet and walkways, then a further 0.85 multiplier (Comfortable = Maximum × 0.85) leaves breathing room so guests are not packed at the absolute minimum density. Maximum capacity fills every usable square metre and feels uncomfortably tight.
Measure the length and width of the usable space in metres. Exclude fixed features like pillars, stages, or permanent bars. For L-shaped rooms, calculate each section separately and add them together.
Yes. UK fire safety law limits venue capacity based on exit widths and numbers. Your calculated capacity may exceed fire limits. Always check with your venue or local fire authority for the official maximum occupancy.
