How We Calculate This
This calculator estimates disposable tableware quantities and packs based on guest count, courses and a spare buffer for breakages and unexpected guests.
Formula
- Plates = guests × courses × (1 + spare%)
- Cutlery sets = guests × courses × (1 + spare%)
- Cups = guests × cups per guest × (1 + spare%)
- Napkins = guests × 2.5 × (1 + spare%)
- Packs = total items ÷ items per pack (rounded up)
One fresh plate is allowed per plated course. For a help-yourself buffet, set Courses to 2-3 so the count covers guests taking seconds — the convention is 2-3 plates per guest.
Frequently Asked Questions
This tool uses one fresh plate per plated course, plus a spare buffer (default 15%). For a one-course BBQ that is roughly 1 plate per guest; for a two-course meal, 2. For a help-yourself buffet, guests typically take a fresh plate for seconds and switch plates between savoury and dessert, so caterers suggest 2-3 plates per guest — set Courses to 2 or 3 to reflect that. Disposables are also more prone to being dropped or blown away, so the spare percentage matters.
Compostable plates (bagasse, palm leaf) cost 2-3x more than plastic but are much more eco-friendly. Paper plates are a good middle ground. Bamboo cutlery works well and is affordable. For outdoor events, eco-friendly options also look better.
Allow 2-3 cups per person (the default is 2, adjustable under Advanced options). People set down cups, forget them, and get a fresh one. For long events (4+ hours), allow 3-4 per person. Separate cups for hot and cold drinks. Disposable wine glasses are available for more formal outdoor events.
This calculator allows about 2.5 napkins per guest plus your spare percentage, which suits most buffets and sit-down meals (caterers typically quote 2-3 per guest). Bump it up for messier finger food, BBQ or canapés, where 3-4 per guest is safer, and add cocktail napkins by the bar.
Plates come in packs of 10, 20, or 50. Cutlery sets (knife, fork, spoon) come in packs of 12, 24, or 50. Cups come in packs of 20, 50, or 100. Buying the largest packs available gives the best per-unit price.
