Total number of people attending the event — use your confirmed RSVP count or best estimate if invitations are still outstanding

Choose the table shape for your venue — round tables suit formal events; rectangular and banquet tables fit more guests in a narrow space

Number of guests per standard table — 8 is the most common for round tables at UK weddings and parties; 6 for smaller tables; 10–12 for larger round tables

A head table seats the wedding party, guests of honour, or hosts at the front of the room — enter the number of seats it will hold below if included

Number of guests seated at the head table — these are subtracted from the regular guest count before calculating how many standard tables you need

How We Calculate This

The calculator separates the head table guests from the regular guest count before dividing into tables.

Table calculation

Regular guests = Total guests − Head table seats

Tables needed = Regular guests / Seats per table (rounded up)

Spare seats = Total seats − Total guests

Room space

Each table footprint = (Table length + aisle) × (Table width + aisle). Total room space = footprint × tables, plus the head table footprint if applicable.

Layout suggestion

The layout suggestion is based on the number of tables — from a single row for intimate gatherings to five or more rows for large venue events.
